How to Back Up Your Laptop Before Selling It (Windows & Mac)

A factory reset is permanent. Once your laptop is wiped, anything you did not copy off it is gone for good. Most people remember the photos and documents, then lose their browser passwords, licence keys, authenticator logins or a project folder buried in an odd place. This guide covers what to back up, where to put it, and how to confirm the backup works before you wipe anything.

Back up first, then wipe, never the other way round

The order matters. Back up, check the backup, sign out of your accounts, and only then reset the laptop. If you are selling to a buyback shop, you can get a MacBook quote while you prepare, so you know the laptop has a buyer before you spend an evening on the wipe.

What to back up

  • Personal folders: Documents, Desktop, Downloads, Pictures, Videos, Music. People often save work to the Desktop or Downloads without thinking about it.
  • Files outside the usual folders: project folders on another drive or partition, game saves, and anything saved straight to the C: drive root on Windows.
  • Browser data: bookmarks and saved passwords. Sign in to your browser account and confirm sync is on, or export them to a file you store safely.
  • Email and chat history: if you use a desktop mail app that stores mail locally, export the archive. Webmail is already online.
  • Software licences: note the keys or accounts for paid software such as Office, Adobe tools or accounting packages. Most are tied to an account now, but older versions use a key.
  • Authenticator and 2FA: if a desktop app holds your two-factor codes, move them before you wipe, or you can lock yourself out of other accounts.
  • Wi-Fi, VPN and work settings: export VPN profiles and note any setup you would have to rebuild from scratch.

Where to put it

Use two places if the data matters. An external SSD or USB drive holds large folders quickly. Cloud storage gives you a second copy that survives losing the drive. Avoid leaving the only copy on a drive you also use every day without checking it, and do not rely on a half-finished sync.

Windows vs Mac: the practical differences

  1. Windows: copy your user folder contents to the external drive, or use the built-in backup to a drive or OneDrive. Make sure your Microsoft account is signed in so Windows is tied to it, not to a local-only setup you forget.
  2. Mac: use Time Machine to an external drive, or copy folders by hand. If you use iCloud Drive, check that it shows as fully synced and that Desktop and Documents syncing is on if you rely on it.
  3. Either: open a few files from the backup on another device before you continue. A backup you never opened is a guess.

Check the backup before you wipe

This is the step people skip. Plug the drive into another computer or sign in to your cloud account on your phone. Open ten files from different folders. Check the folder sizes roughly match. Confirm your largest project or photo album is complete. If anything looks short, fix it now.

Then sign out and wipe

Once you trust the backup, sign out of your accounts, deauthorise licences that count devices, and reset. We cover the exact steps in our Windows wipe guide and MacBook wipe guide. For a laptop that needs to be ready to hand over, a clean reset to the setup screen is what we expect to see when you bring it in.

Frequently asked questions

How long does a laptop backup take?+

It depends on how much data you have and how you copy it. A few GB of documents takes minutes. A full photo and video library can take several hours over USB or Wi-Fi. Start the backup well before you plan to sell, and leave the laptop plugged in the whole time.

Is cloud storage enough, or do I need an external drive?+

Cloud storage is fine for documents and photos if everything has finished syncing. Many people assume it has when it has not. An external drive is better for big folders, videos and anything you cannot afford to lose. Ideally keep two copies in two places until you are sure the new laptop has everything.

Do I need to back up the whole system or just my files?+

For selling, your files and logins are what matter. You are about to wipe the system anyway, and the next owner needs a clean one. A full system image is only useful if you may want to restore this exact laptop later. For most sellers, copying personal files, exporting passwords and noting licences is enough.

Can I just use Time Machine or Windows Backup?+

Yes, both work well as a safety net. Time Machine on a Mac and the Windows backup tools can restore your files onto a new machine. They do not replace checking the specific things people forget: licence keys, authenticator apps, browser logins and anything stored outside the normal user folders.

What if I forgot to back up something after I already wiped it?+

Stop using the laptop straight away. Writing new data makes recovery less likely. Recovery software sometimes retrieves files from a wiped drive, but it is not reliable, and on modern encrypted laptops it often fails. This is why the check step below matters: open your backup and confirm the files are really there before you reset.
