How to Wipe a Windows Laptop Before Selling

Why wiping a laptop needs more care than a phone

Laptops accumulate logged-in browsers, saved passwords, cached email, downloaded files, and licensed software. A quick delete of your user folder leaves most of it recoverable. The safe approach is to sign out of everything, deactivate paid apps, then run a full reset that removes and cleans the drive. Do it in this order.

Step 1: Back up your files

Once you reset, on-device data is gone. Back up first:

1. External drive: copy Documents, Desktop, Pictures, Downloads, and any project folders to an external SSD or USB drive.
2. OneDrive / cloud:confirm the files you care about have finished syncing (the cloud icon shows "up to date"), not just queued.
3. Browser data: if you rely on your browser, make sure bookmarks and passwords are synced to your Google/Microsoft/browser account so they follow you to the next machine.
4. Licence keys: note any product keys or licence emails for software you will reinstall.

Step 2: Deactivate paid software

Seat-limited licences stay "in use" if you wipe without deactivating. Sign out or deactivate inside each app first:

• Microsoft Office: sign out of your account in any Office app, then remove the install from account.microsoft.com if needed.
• Adobe Creative Cloud: Help → Sign Out (deactivates the seat).
• Antivirus / VPN: deactivate the licence in the app before removing it.

Step 3: Sign out and unlink your accounts

1. Browsers: sign out of Chrome/Edge/Firefox so saved sessions and autofill go with your account, not the laptop.
2. Microsoft account: Settings → Accounts → sign out, then go to account.microsoft.com → Devices and Remove this laptop from your account.
3. Password managers & 2FA: log out of any password manager and remove the device from your two-factor app if it was a trusted device.

Step 4: Reset This PC (Remove everything)

This is the clean wipe. On Windows 10 or 11:

1. Open Settings → System → Recovery(on Windows 10: Update & Security → Recovery)
2. Under Reset this PC, click Reset PC
3. Choose Remove everything
4. Choose Local reinstall (or Cloud download if the install is broken)
5. Click Change settings and turn Clean data (fully clean the drive) to On
6. Click Reset and let it run, this can take an hour or more

Keep the laptop plugged into power the entire time. When it finishes, it boots to the fresh Windows setup welcome screen. Stop there, do not create a new account; leave it for the buyer.

Step 5: Final physical check before selling

• Remove any SD card, USB dongle, or Kensington lock
• Wipe down the screen, keyboard, and ports
• Find the original charger, it affects the quote
• Locate the box if you still have it
