How to Build a Device Inventory Before Selling Company Phones and Laptops
Most delays in a company device sale come from one thing: nobody knows exactly what is in the cupboard. A simple inventory list fixes that. It gets you a faster, more accurate quote, makes collection smoother and gives finance a clean record of what left the business. Here is what to record, how to grade condition, and how to keep it manageable.
Why an inventory list saves time and money
A quote for ten identical laptops is easy. A quote for a mixed pile of phones and laptops from three offices, bought over six years, is not, unless someone has written down what is in it. A good list means fewer back-and-forth messages, a more accurate quote and no surprises at collection. It also gives your finance team a record of exactly which assets were disposed of.
What to record for every device
One row per device is enough. Use a spreadsheet with these columns:
- Type: phone or laptop.
- Brand and exact model:for example, the full model name, not just "Dell laptop".
- Specs: storage for phones; processor, RAM and storage for laptops.
- Approximate age: purchase year if known.
- Serial number or IMEI: for your asset register.
- Condition grade: see below.
- Lock and management status: unlocked, MDM enrolled, iCloud or Google account still attached, BIOS or admin password set.
- Accessories: charger, box, case.
- Asset tag and location: to find it again for collection.
A simple condition grading scheme
Keep it to three or four grades so staff apply it consistently. For example:
- A: powers on, works fully, minimal marks.
- B: works fully, visible wear such as scratches or small dents.
- C: works but with a clear issue, such as weak battery or a worn keyboard.
- D: not working or heavily damaged. Flag these separately so they do not slow down the rest of the list.
Your grades are only a guide. The buyer grades on inspection, so do not spend long arguing over A versus B.
Sort out locks and accounts first
This is where most batches get stuck. Before devices leave, check:
- Company iPhones released from MDM and signed out of any managed Apple ID. An MDM-locked or iCloud-locked iPhone cannot be bought.
- Android devices removed from the management profile and the work Google account, so they are not stuck on a lock after reset.
- Laptops signed out of company Microsoft or Google accounts, removed from the domain, and free of BIOS or admin passwords.
- Backups of anything staff still need.
For the technical steps, see how to release company devices from MDM.
Decide what not to sell
Mark any device that held highly sensitive or regulated data. We do a thorough factory reset, not certified data destruction with a certificate. If your policy requires certified destruction for those devices, keep them out of the sale and handle them under your own process. Also remove anything not yet written off, still under warranty or needed as spares.
Send the list for a quote
When the list is ready, send it through WhatsApp or the corporate buyback page. We confirm which devices qualify, give an estimate based on market value and agree collection if you are in one of our selected Klang Valley areas. An official invoice is available on request. For the wider picture on recovering value from old equipment, see our IT asset disposal page.
Final value is confirmed after physical inspection, and device condition and lock status can change the estimate.

WhatsApp Berry NiceFrequently asked questions
Do I need a perfect list before I contact you?+
No. A rough list of models and quantities is enough to start a conversation, and you can refine it later. The more detail you can add, such as storage, condition and lock status, the more accurate the quote will be. Final value is confirmed on physical inspection.
What is the minimum information per device?+
Device type, brand and exact model, storage (and RAM for laptops), approximate age, general condition, and whether it is locked or still enrolled in a management system. A serial number or IMEI helps for your own records.
Do you take devices that are still enrolled in MDM?+
Devices need to be released from MDM or remote management before they can be bought. An iPhone with MDM lock is a hard no until it is released. Check the status as part of your inventory so you know which devices need IT attention first.
Is a factory reset enough for company data?+
We do a thorough factory reset. That is not certified data-destruction software and we do not issue destruction certificates. If your policy requires certified destruction for certain devices, handle those separately and sell only the devices that fall outside that requirement.
Can you provide an invoice for our accounts?+
An official invoice is available on request. Collection is offered in selected Klang Valley areas. Speak to your accountant about how the sale should be recorded, because that depends on your own accounting and tax treatment.
