What to Expect When Your Company Sells Phones and Laptops in Bulk

Most companies prepare their devices well but have no idea what the sale itself looks like. Who checks the units? When is the price final? What paperwork do you get? Knowing the sequence in advance makes it easier to plan with finance and IT, and avoids surprises on the day. This is how a bulk buyback of company phones and laptops normally runs, and where your team's time is actually needed.

The short version

A bulk sale has six stages: you send a device list, we give an estimate, you prepare the devices, we collect or receive them, each unit is checked, and the final offer is confirmed with an invoice if you need one. Your team's work is concentrated in the first and third stages. Everything else is on us.

Stage 1: Send a device list

Start with a simple list: device type, brand, model, storage, rough condition and how many of each. A spreadsheet or even a WhatsApp message is fine. If you have not built one yet, our device inventory guide shows what to include. The more accurate this list is, the closer the estimate will be to the final offer.

Stage 2: Get an estimate

We review the list and give you an estimate for the lot. Treat this as a planning number for finance, not a locked price. Units with account locks, management enrolment or heavy damage can change the picture, which is why the next stage matters.

Stage 3: Prepare the devices

This is where most delays happen. Before the devices leave your office:

  • Back up anything the company needs to keep.
  • Sign out of Apple ID, Google and Microsoft accounts.
  • Release managed devices from MDM. We cannot buy MDM-locked units.
  • Perform a factory reset, or tell us which units you have not reset.
  • Remove SIM cards, memory cards and asset tags if needed.

iCloud-locked and MDM-locked devices are not accepted. For laptops, see our laptop wiping checklist.

Stage 4: Collection or handover

For bulk lots, collection can be arranged in selected Klang Valley areas, depending on location and volume. Otherwise devices can be dropped off at our Sentul shop or sent by courier. Decide who from your side will hand over the devices and keep a copy of the list they sign against, so both sides count the same number of units.

Stage 5: Checking and the final offer

Each unit is checked for condition, function, battery health and lock status. The final offer reflects what we actually find. Any unit that does not match the description on the list is flagged, so you can see exactly why the number moved. Units we cannot accept, such as locked devices, are returned or handled as you instruct.

Stage 6: Invoice and payment

If your accounts team needs an official invoice with our SSM details, ask for it up front. Agree the payment method and timing when you confirm the final offer so there is no back-and-forth afterwards.

What to decide before you start

  • Who in IT owns the device list and the handover.
  • Whether your data policy needs certified destruction (we do not provide it).
  • Whether the sale is one lot or staged in batches.
  • Who in finance needs the invoice and in what name.

Frequently asked questions

Do we need a minimum number of devices?+

There is no need to wait for a big fleet to message us. Tell us how many phones and laptops you have and where they are, and we will advise whether collection makes sense or whether it is easier to bring or courier them. Collection depends on location and volume.

Is the first estimate the final price?+

No. The estimate is based on the list you send. The final offer is confirmed after we check each unit, because condition, battery health, storage and any account locks affect the price. Accurate descriptions and photos in your list keep the gap small.

Can you collect from our office?+

For bulk lots we can arrange collection in selected Klang Valley areas, depending on location and volume. Outside those areas, courier or drop-off is the usual route. Message us your location and we will confirm what is possible.

Do you issue an invoice for our accounts team?+

Yes, an official invoice with our SSM details is available on request. Tell us when you request the quote that you need one so it is ready with the paperwork.

Do you provide certified data destruction?+

No. We do a thorough factory reset on devices we buy, but we do not use certified erasure software or issue destruction certificates. If your policy requires certified destruction, arrange that before the devices leave your office.
